Give the site lead the service details
Have the proposal identify the facilities, supplies and visits included over the work period. Explain locked gates and receiving arrangements before agreeing delivery. If the person ordering is not on site, make sure the site lead can confirm the position and answer access questions.
Handle pauses and extensions deliberately
A delay may change duration without reducing the need for cleaning or supplies. Contact the rental business with the revised plan and confirm the arrangement. Ask how the order is closed and pickup requested when work ends, rather than assuming the supplier follows the contractor’s schedule.
Leave useful instructions for a service visit
A short site note should identify the entrance, equipment position, contact and periods when access is restricted. Keep it with the site lead rather than only with the person who placed the order. Share access credentials privately through the agreed channel.
If a visit cannot take place, record the access issue and contact the rental business about the next step. Do not assume the supplier follows the contractor’s changing timetable. Review any extra visit, changed entrance or extension through the accepted order.
